Mass PMs and Mass Messages System Improved

If you have a large forum and you have ever tried to Mass Email all of your members you have probably experienced this:

Sweet! I’ve got something great to share with everyone on my forum. I’ll just write myself a Mass Email… *type* *type* *type* and click send… *click* Alright! The page is loading… and loading… still loading… is anything happening? Still loading… Oh! Look! It stopped loading… but the page is blank… What happened? Did all my emails send out properly? What gives?!

The answer, unfortunately, is “no,” all your emails did not get sent. The script timed out. Why? PHP scripts are only allowed to execute for a certain amount of time and it was trying to send an email to ALL of your members, which is a lot. Too much, in fact, for attempting it in one go. It took too long and the process was killed.

We wouldn’t be surprised if this was your reaction:

AHHHHHHHH!!!!!!!

Y U NO WRK?!?!?!

DO NOT WANT!

RAAGGGEEE QQUUUIIIITTTT!!!!!!

 

And we don’t blame you. The system was unreliable on larger forums. It was unacceptable. So, we fixed it.

Now, when you send a Mass Email or Mass PM, your message will be queued by the system and your page will load right away letting you know how many members are queued to receive your message. Then, the server will gradually send your messages using a background process, behind the scenes, over as short a period of time as possible. And once your Mass PMs or Mass Emails are done, you will receive an email letting you know.

If you were every weary of the Mass Email system from bad experiences before, I encourage you to give it another try. The system has been vastly improved and we are excited for you to start communicating better with your members and taking your forum to new heights.

HyperTip Tuesday: Listen.

Recently, I have been taking great pains to improve the communication channels between me (plus the Hyperboards Staff) and you, our loyal Hyperboarders (sounds like an extreme sports team, doesn’t it?), such as the Feedback bar, our Twitter and Facebook pages, this blog, etc. We’ve also added and improve upon features for forum owners to help them better communicate with their members, such as the Mass PM and Mass email sections.

However, opening communication channels and giving you all the tools you need as a forum owner to hear what your users are saying won’t make a lick of difference if you don’t do the most important thing you can do as a forum owner and a forum leader: LISTEN!

I’m not saying you have to DO everything your members suggest, but you do need to hear them out and respond to them. Even if you don’t agree with an idea and end up replying, “Thank you for your suggestion, though we are taking the forum in a different direction and will not be adding that at this time,” that is better than nothing. You should acknowledge your members and thank them for their input and support regardless of how great an idea it is or if it is used or not.

Listen and engage your members. If your forum doesn’t have its own Feedback board or section of the site, CREATE IT NOW! Give your members a voice and a greater “forum” within which to express their thoughts and ideas with you. Your members are your greatest asset and listening to them is the only way to harness their power.

Mass PMs Are Back!

I’ve been getting some recent feedback through the new feedback system asking for certain features, updates, and changes. Well, I just wanted to let you know that it is working! I am listening and you can expect to see more updates and improvements.

The latest feature update is Mass PMs. They were around for a long time, but was eventually disabled and replaced by the Important Announcement feature. And while the Important Announcements has its uses, from reading your submitted feedback, it can’t do everything that Mass PMs can. And so, it has been revived!

However, with the recent improvements to Mass Emails, why shouldn’t we be able to make the same feature enhancements to Mass PMs, such as sending to specific Member Groups and members? We can, and we have! I present to you the new and improved Mass PM feature. Please take a look and give it a go. If you notice any bugs, let me know and, as always, I will fix them right away. HyperTip Tuesday: Have Heart

As I’ve said before, starting a forum can be tough. It requires a lot of hard work and a lot of patience. Your reasons for starting your forum will be your reasons for staying with it through thick and thin. So, what drives you to keep on keeping on? What motivates you to put in the time and effort needed for a successful community? Why do you keep trying when at first you don’t succeed?

Heart!

And no, I’m not talking about the cheesy fifth element in the Captain Planet cartoon from the early 1990s… I’m talking about that inner spark of fire and passion that draws you to something. What is your forum about? Do you love it? Do you find yourself constantly reading up on it, researching in books and magazines to learn more about it, and scouring the internet in search of new and exciting information about it?

How much do you love it? How much heart do you have? Does your soul feed upon it to the extent that you want desperately to share it with others – that you think everyone should love and respect it the same way you do?

If so, then you are off to a great start. You’ll need it to keep you going. Use and embrace your power of heart to attract others. Your passion will draw in others who share your heart.

New! Feedback Tab!

We think Hyperboards is pretty great. But to stay great you have to constantly improve and evolve. And the only way to do that is to listen to YOU and what you have to say. Believe it or not, you are incredibly important to us. Your feedback helps shape and mold the direction Hyperboards, and ultimately your forum, takes. You help us figure out what to improve and how to improve it. You help us find bugs and even add new features.

To help improve this vital channel of communication between you and Hyperboards, we have developed a new Feedback Tab. The tab appears on the right side of your screen while visiting a forum. By clicking it, a modal will pop up with a form where you can submit your feedback directly to us, the Hyperboards Staff.

Using the Feedback Form, you can report bugs, give suggestions, or just let us know if you think something is awesome or if you think something is awful. Whatever it is you have to say about the system, we want to hear from you.

Our goal is to give you more of a voice, especially those who do not often visit our Support Forum. So please don’t be shy. We are all ears!

A quick note: we know that sometimes forums are sensitive to visual changes. To help reduce the “splash” made by this change, the feedback tab uses your forum’s own colors so that it blends in as seamlessly as possible. Also, there is a new admin option in your Forum Settings area that lets you “hide” the feedback tab.

HyperTip Tuesday: Don’t get discouraged, get help!

Let’s be honest. Growing your forum can be pretty darn tough! There are many challenges you will face as a forum owner and no two forums face exactly the same obstacles. Sometimes you have problem users and somethings the problem is the lack of users. You may be having trouble growing your forum or you may have reached a point where your forum feels stagnant and stale. So what do you do when you’ve hit a roadblock and you don’t know what to do? Well, the first step when facing any difficult situation is: Don’t Panic!

And, don’t despair! If you let yourself get down, get upset, or get “freak out,” then you will no longer be in a position, and state of mind, required to come up with a solution. Before you give up, just remember that you are not alone. There are thousands of forums out there that have experienced what you are going through and there are always people, websites, and other resources out there ready and willing to give you some advice or motivation. Ask and ye shall receive.

A lot of times to get some help, all you have to do is ask! When you get stumped or feel defeated, go explore the web, do some searches for guides or find websites, and even other forums, that provide assistance for the challenge you are facing. Find an IRC channel or chat room where you can ask forum experts for their advice. Talk to people you might now who have some experience with forum. And don’t forget that your own members can be invaluable assets. Ask them for help or advice or assistance in whatever it is you are trying to do. You can even get help on the Hyperboards Support Forum – just create a support thread and explain your situation. There are so many resources out there waiting to be tapped!

So stay positive, stay focused, and be open to letting others assist you. Seek help wherever you can and watch as your forum takes to new heights!

HB v2.22 Released! New Features!

Hey Gang! We’ve got some exciting news. Version 2.22 has now officially released. That shouldn’t really mean anything to you, but to me and Ben it is the culmination of much work and testing that has gone into this release. What is means to you should be two major new features:

  1. Akismet Integration – Anti-Spam
  2. Post Reporting

Akismet

Ben took the first big step in integrating Akismet into the HB system – something we weren’t sure was possible. Well, it worked! He did an awesome job and after taking a look at the system together we noticed that what we had was very close to a post reporting system. So we decided to expand upon anti-spam functionality.

For Akismet, and auto-spam detection to work, you must input your own Akismet API Key in the Forum Settings section of your Forum’s Admin Panel. You can get a free personal key from the Akismet website.

Post Reports

Your members can now report posts, including a reason for the report, which you can review in your Admin Panel. You also have the option to mark reported posts as spam, which will hide them from view (and post totals). Any posts that Akismet detects as spam will automatically be marked as spam and a report will be created for your review.

HyperTip Tuesday: Welcome new members.

Create a Welcome Board

Create a place for your new members to introduce themselves to help break the ice. By inviting them to post and share some personal information, you are giving them an opportunity to feel welcomed and your other users an opportunity to interact with a new face.

Respond To All Welcome Threads

You should personally respond to any new member who creates a welcome thread in your welcome board. Do so as quickly as possible. Even if the message they post is only a single word, such as “Hello.” Each new member deserves to be welcomed.

Hopefully, the new user will share more about themselves and if it is something interesting, there is potential for an engaging conversation to ensue (ask questions or give input). Always seek to drive meaningful discussion as it will increase the value of your content. Also, encourage other staff members to welcome new members and post in as many as they can.
